Supervisor: Finance and Administrative Manager
Duration: 6 months/internship
Location: Beit Jala
Job Purpose:
To support the Finance and Administration Unit by organizing, archiving, and managing financial and administrative documents, ensuring their completeness and compliance with QADER policies and donor requirements, and supporting the preparation of financial documentation and audit processes.
Key Responsibilities:
- Maintain a systematic and well-organized filing system for Finance, Administration, and HR documents in both hard and soft copies, in line with QADER’s policies and procedures.
- Ensure that all supporting documents are complete, properly authorized, signed, and stamped prior to filing.
- Scan, label, and upload financial documents to the electronic filing system using approved naming conventions.
- Verify that all required information is clearly indicated on supporting documents and stamps, including project name, date, allocation percentage, and other required details.
- Prepare and compile supporting documentation for financial reporting, donor reviews, and internal and external audits.
- Translate or summarize key financial and administrative information into English when required (e.g. invoice descriptions, supplier names, purpose of expenditure).
- Assist in the preparation for organizational and project audits, including compiling, organizing, and retrieving requested files.
- Support the Finance and Administration Unit staff by providing general administrative and financial support as needed.
- Ensure confidentiality, proper storage, and secure handling of all financial and administrative records, in compliance with QADER policies and procedures.
- Assist in the secure disposal of financial and administrative documents in accordance with QADER policies and procedures.
- Carry out any other related tasks assigned by the direct supervisor within the scope of the position.
Qualifications and Requirements:
- Bachelor’s degree in accounting, Business Administration, or a related field.
- Good working knowledge of Windows and Microsoft Excel.
- At least one year of relevant experience in finance, administration, or documentation/archiving support.
- Very good command of English (reading and writing), particularly for basic financial and administrative terminology.
- High attention to detail and ability to manage large volumes of documents accurately.
- Strong organizational and filing skills for both paper-based and electronic records.
